Digitization of the debt collection extract: Efficient process design in «mein.ar.ch»
From requirement to process
A key aspect of the project was defining the process for ordering a debt collection extract. This included:
- The design of a user-friendly form for municipalities.
- The technical integration into the «mein.ar.ch» portal.
- The assurance of a seamless process from application submission to the provision of the extract.
A seamless integration into the "mein.ar.ch" portal was achieved with our AFS forms, which are linked to the Swiss-wide AGOV identification solution. Furthermore, the payment provider Payrexx is used for direct payment from the AFS forms. This system was supplemented by the aforms modules inbox and relay, which enable the secure capture and transmission of application data. Furthermore, the ecosystem was expanded with the debt collection solution Collecta, the debt enforcement solution eXpert, and the business case solution Acta Nova, creating an efficient and consistent digital process. Thus, the advantages of an interoperable and modern form management system were fully utilized.

Implementation of the process
The implementation of the process followed a clearly structured procedure:
- Application: Citizens fill out the digital form on the portal.
- Status change: Automatic verification and validation of jurisdiction.
- Data transmission: The relevant information is sent securely to the responsible authority.
- Retrieval of the debt collection extract: The requested extract is generated by the authority and imported into the system.
- Delivery: The completed debt collection extract is made available to the applicant digitally via the portal.
- Payment: The transaction takes place directly via the portal, making the process efficient.

Here you can see the entire process from application to delivery in the portal.
Thanks to our collaboration with aforms, we were able to fully digitize the process for ordering a debt collection statement. The solution is not only efficient and seamless, but also user-friendly – a real benefit for our citizens and employees.

Experiences from implementation
Valuable insights were gained during the implementation of the digital process:
- Clearly defined requirements: A detailed process and component description was essential.
- Increased complexity: The interconnection of various systems required close coordination between the responsible parties.
- Seamless workflow: The process was implemented entirely digitally and is accessible around the clock.
- Immediate validation: Automatic verification of responsibility prevents unnecessary redirections.
- Easy control: The specialist departments can easily verify orders and payment information.
Conclusion
The successful implementation of ordering a debt collection extract via «mein.ar.ch» demonstrates how modern technologies can make administrative processes more efficient. Automation and digitalization reduce manual effort, improve user-friendliness, and ensure a fast and secure process. The insights gained provide valuable inspiration for future digitalization projects in the public sector.
